Pacific International Lines (PIL) is looking for a thorough, customer-focused Import Documentation Agent to manage all documentation activities required for the release of import cargo in Côte d’Ivoire. This role ensures that customers receive the correct documents on time, that data is accurate in PIL systems, and that all cargo is released efficiently and in compliance with company policy and local regulations.
Key Responsibilities:
The Import Documentation Agent handles the full cycle of import documentation, from receiving BL information to issuing Delivery Orders and supporting customers throughout the release process. This role requires strong attention to detail, excellent communication skills, and the ability to coordinate closely with Finance, Operations, and Customers.
Bill of Lading (BL) Review & Amendments
- Receive, verify, and validate import BL details from POL offices.
- Check cargo descriptions, consignee details, quantities, weights, and any special instructions.
- Process BL corrections or amendments in coordination with origin offices and customers.
- Ensure proper digital filing and archiving of all documents.
Customer Support & Cargo Release
- Inform customers of required documents, procedures, and timelines for cargo release.
- Provide Arrival Notices and respond to customer documentation inquiries.
- Verify that all documentation requirements (e.g., BL, IDs, Power of Attorney letters, Customs Declarations, etc.) are fulfilled.
- Issue Delivery Orders (DOs) only after Finance confirms payment clearance.
- Support customers with smooth, timely cargo release in coordination with terminals.
Coordination With Internal Teams
- Work closely with the Invoicing Team to ensure import charges are issued correctly and on time.
- Align with the AR/Cashier Team to confirm payment status before releasing DOs.
- Liaise with the Operations Team to stay updated on vessel arrivals, discharge status, and special cargo notes.
- Provide support during audits or compliance reviews by preparing requested documentation.
System Updates & Data Accuracy
- Maintain accurate and up-to-date information in PIL systems (BL details, DO issuance, release status, corrections).
- Upload, track, and manage customer documents within the system.
- Ensure timely updates to avoid delays at customs or terminal gates.
Compliance & Documentation Quality
- Ensure all import documentation meets PIL standards and local regulatory requirements.
- Maintain strict confidentiality and integrity of customer and shipment data.
- Ensure all physical and digital records are accurately archived and available for audit.
Additional Responsibilities
- Carry out any other related tasks as needed to support the efficiency of PIL’s operations and contribute to achieving overall business objectives.
MUST HAVE:
- Diploma or degree in Logistics, Shipping, International Trade, or Business.
- 1–3 years’ experience in import documentation, shipping, freight forwarding, or port environment.
- Strong knowledge of BL processes, cargo release rules, documentation workflows.
- Good understanding of shipping line processes and customer service expectations.
- Proficiency in Microsoft Excel and shipping/ERP systems.
- Fluent in French, with working knowledge of English.
- Detail-oriented, organized, and able to work under pressure.
- Strong communication and customer service skills.
