We are seeking a highly motivated and experienced Documentation Manager (Bangkok, Thailand) to join our dynamic team at PIL. The successful candidate overseeing and managing all shipping documentation processes to ensure compliance with international maritime regulations, port authority requirements, and client expectations. This role plays a critical part in ensuring smooth vessel turnaround, cargo handling, and communication between stakeholders.

 

Key Responsibilities:

 

Documentation Oversight:

  • Manage the preparation, verification, and submission of shipping documents including Bills of Lading, Manifests, Delivery Orders, and Customs Declarations.
  • Ensure timely and accurate documentation for vessel arrivals, departures, and cargo operations.

 

Compliance & Regulations:

  • Ensure all documentation complies with local and international maritime laws, port regulations, and customs requirements.
  • Stay updated on changes in shipping regulations and implement necessary adjustments.

 

Team Management:

  • Supervise and train documentation staff to maintain high standards of accuracy and efficiency.
  • Allocate tasks and monitor performance to meet operational deadlines.

 

Coordination & Communication:

  • Liaise with port authorities, customs, shipping lines, and clients to facilitate smooth documentation flow.
  • Coordinate with operations and logistics teams to align documentation with vessel schedules.

 

System & Record Management:

  • Maintain accurate records of all documentation and transactions.
  • Utilize shipping and logistics software systems for document processing and tracking.

 

Problem Resolution:

  • Investigate and resolve discrepancies or issues related to shipping documents.
  • Provide support during audits or inspections.

 

 

MUST HAVE:

  • Bachelor’s degree in Maritime Studies, Logistics, Business Administration, or related field.
  • Minimum 5 years of experience in shipping documentation, preferably in a ship agency environment.
  • Strong knowledge of maritime documentation procedures and regulatory requirements.
  • Proficiency in shipping software and MS Office Suite.
  • Ability to work under pressure and meet tight deadlines.
  • Familiarity with port community systems and EDI platforms
  • Multilingual abilities (English and local language)
