Pacific International Lines (PIL) is looking for a reliable and detail-driven Export Documentation Agent to manage the export documentation workflow and support timely, compliant vessel loading in Cote d'Ivoire. This role is essential in ensuring that all export shipments meet regulatory requirements, customer expectations, and shipping line standards.

 

Key Responsibilities:

 

The Export Documentation Agent manages the full export documentation lifecycle — from receiving shipping instructions (SI) to issuing the final Bill of Lading and coordinating closely with customers, operations, the invoicing team, port of destination offices, and other external stakeholders (Port, Terminal, etc.). The ideal candidate is organized, customer-focused, and comfortable with deadlines and high documentation volumes.

 

Shipping Instructions (SI) Management

  • Receive, check, and validate Shipping Instructions submitted by customers or forwarders.
  • Ensure SI details are accurate (shipper/consignee, cargo description, weight, HS codes, marks, reefer details, hazardous info, etc.).
  • Follow up proactively with customers for missing or incomplete information.

 

Bill of Lading (BL) Drafting & Issuance

  • Prepare accurate BL drafts based on validated SIs.
  • Share BL drafts with customers and manage amendments/corrections efficiently.
  • Issue Original BL, Seaway Bill, or Telex Release according to customer requirements and payment confirmation.
  • Ensure proper archiving (digital & physical) of all BL documents.

Coordination With Internal Teams

  • Work closely with the Invoicing Team to ensure export charges are billed correctly and on time.
  • Align with AR/Cashier to ensure confirmation of payment before BL release.
  • Coordinate with Operations regarding cut-off times, documentation deadlines, cargo loading lists, and vessel schedules.
  • Liaise with POL/POD offices when required for amendments, restrictions, or special cargo instructions.

 

Customer Service & Communication

  • Provide timely information to customers on documentation requirements, cut-off deadlines, BL processes, and release options.
  • Respond to customer queries and assist with documentation issues or corrections.
  • Maintain professional and clear communication at all times to ensure customer satisfaction.

 

System Updates & Data Accuracy

  • Update all export details in PIL systems (SI status, BL details, amendments, release type).
  • Maintain accurate data to support manifesting, operational planning, and financial processes.

 

Compliance & Documentation Integrity

  • Ensure all export documentation meets local and international regulations (customs, port authority, cargo restrictions).
  • Verify compliance with VGM requirements, special cargo documentation (DG, reefer, OOG), and PIL policies.
  • Maintain data confidentiality and ensure documents are audit-ready.

 

MUST HAVE:

  • Diploma or degree in Logistics, Shipping, International Trade, or Business.
  • 1–3 years of experience in export documentation, shipping, freight forwarding, or port environment.
  • Strong understanding of SI, BL drafting, VGM, export procedures, and cut-off requirements.
  • Proficiency in Excel and shipping/ERP systems.
  • Fluent in French and English.
  • Strong attention to detail, organization, and deadline management.
  • Excellent communication and customer service orientation.
