We are seeking a highly motivated and experienced Operations Coordinator to join our dynamic team at PIL Brazil. He/ she would ensure protection of the vessel’s rotation as per service performance, navigation safety and cargo operations carried out at contracted performance levels, in compliance with Regional Office and Head Quarter instructions.

 

KEY RESPONSABILITIES

1. Ensures vessel’s rotation

  • Follows-up vessels port calls.
  • Engages and follows up the performance of local vendors, including but not limited to Terminal Operators, agents, Pilots, towage companies, bunker suppliers, special cargoes surveyors and customs-brokers.
  • Maintains straight contact with 3rd party teams, partner lines and internal departments in connection with vessel’s operations.
  • Keeps close contact with Pilots, Terminal Operators, Port Authorities, and Maritime Authorities.
  • Keeps LARO and Line/HQ permanently informed of the general port situation as well all other relevant information, especially as far as infrastructure developments is concerned.
  • Expected Results: Ensures vessels rotation as per schedule or else as instructed by HQ or LARO.

 

2. Team Coordination

  • Coordinates teams (own or outsourced) efforts for performance continuous improvement.
  • Ensures that PIL expected/contracted Service Levels are communicated to the teams and/or vendors.
  • Keeps internal control of all details pertaining to all port calls by PIL operated and/or partner vessels.
  •  Expected Results: Ensures achievement of expected performance by vendors.

 

3. Provide support to other operational departments

  • Visits terminals to align procedures and/or perform surveys.
  • Requests quotations and maintain straight follow up of break-bulk cargoes requirements, including but not limited to stevedoring, cargo surveyors, ancillary services, extra cranes hire, land operations and lashing materials.
  • Supports Legal and Claims departments when required to collect information and evidence to contribute in Claims cases investigations and/or local Authorities regulations studies, in cases where the issue requires a higher level of technical operational knowledge/expertise.
  • Collects information regarding new business and cost savings opportunities.
  • Supports any other PIL department in investigations on service failures by partner lines and/or their subcontractors, in cases where the issue requires a higher level of technical operational knowledge/expertise.
  • Provides the required authorization from Port Terminals and vessels for the access of shore-based staff or customers on board Own and chartered vessels and to port facilities.
  • Communicates crewing requirements received from vessel’s Owners to the proper local agents, for owned and chartered vessels.
  •  Expected Results: Support to other areas in Operations-related (or controlled) matters.

 

QUALIFICATIONS & EXPERIENCE

  • Minimum 5-year experience as boarding clerk, Operations assistant or executive, Cargo Flow position or related position.
  • Comprobable experience in related industries (logistics, maritime, or supply chain).
  • Ability to understand complex processes, define problems and draw valid conclusions.
  • Ability to work with mathematical concepts (such as fractions, percentages, ratios, and proportions) to practical situations.
  • Knowledge of laws and rules applicable by authorities as well as local usages and customs in the ports under her/his jurisdiction.
  • Degree: Business Administration, Logistics, Foreign Trade and related.
  • IT and System Requirements: MS Office package intermediate knowledge.
  • Language: Good command level of English language written and spoken.
