We are seeking a detail-oriented and highly organized BPM Documentation Expert to join our dynamic Regional LATAM team at PIL. The successful candidate will play a crucial role in overseeing the day-to-day Business Processes management and ensuring smooth coordination between various stakeholders.

 

About the Role 

At Pacific International Lines (PIL), we’re undergoing a major transformation in how we operate across Latin America. As a BPM Documentation Expert, you will play a key role in two strategic initiatives: 

  1. The migration of operational back-office tasks to our global Shared Services Center (SSC) 
  2. The implementation of a new ERP system (GFS), particularly in areas related to customer invoicing and third-party billing 

You will serve as a knowledge lead for documentation and back-office processes across nine countries in the region. This includes capturing local variations, supporting process standardization, and ensuring accurate knowledge transfer to the SSC. Over time, this role will evolve into a process owner position, overseeing quality and driving continuous improvement efforts. 

 

Key Responsibilities: 

 

  • Act as subject matter expert (SME) for regional back-office processes, including: 
  • Customer rate contract filing 
  • Booking management 
  • Export documentation (Shipping Instructions, BL draft/issuance, customs manifests such as China) 
  • Container movement tracking 
  • Import Documentation 
  • Vessel & Ports Operations 
  • Analyze and document as-is processes in detail for countries in scope: 
  • Mexico, Guatemala, Colombia, Ecuador, Peru, Chile, Brazil, Argentina, and Uruguay 
  • Collaborate with local teams and SSC counterparts to ensure effective knowledge transfer and operational continuity 
  • Partner with the IT and Finance teams to support the implementation of Agency Management System (AMS). 
  • Support ERP (GFS) implementation by clarifying current processes and validating future-state designs for: 
  • Customer invoicing 
  • Third-party billing related to equipment and port operations 
  • Participate in system testing, training, and rollout preparation 
  • Post-migration, act as process owner, monitoring SSC execution quality and identifying opportunities for continuous improvement 

 

Skills & qualifications:

 

  • Experience in the shipping industry is required (experience in agencies, freight forwarders, or related logistics companies is also considered valuable) 
  • Deep understanding of documentation and operational back-office processes 
  • Strong ability to capture and document detailed process steps and identify country-specific variations 
  • Fast learner with a structured, analytical mindset 
  • Excellent communication skills and the ability to collaborate across countries and functions 
  • High attention to detail and process discipline 
  • Fluent in English and Spanish (spoken and written) 
  • Willingness to travel occasionally within the region
