The Admin Event Planning Assistant will support the planning and execution of various events, including corporate meeting, business travels, travel visas and cab coordination, among others. This role involves coordinating logistics, managing vendor relationships, and ensuring that all aspects of the event run smoothly. The ideal candidate will be organized, detail-oriented, and passionate about event planning.

 

Key Responsibilities:

 

  • Assist in the coordination and logistics of events, including venue selection, catering, and transportation arrangements.
  • Supervise stakeholders to ensure tasks are completed effectively and on schedule.
  • Manage inventory of event supplies, equipment, and materials, ensuring everything is on hand and in good condition.
  • Coordinate schedules and timelines for event activities, including setup, and breakdown.
  • Communicate with vendors and suppliers to negotiate contracts and confirm services needed for events.
  • Track and report on event budgets, ensuring expenses are monitored and kept within limits.
  • Ensure compliance with safety regulations and standards during the planning and execution of events.

 

 MUST HAVE:

Experience:

  • Minimum of 5 years of experience in Admin Support or event planning,

 

Skills:

  • Strong organizational skills to manage multiple tasks and deadlines efficiently.
  • Proficiency in event planning software (e.g., Cvent, Eventbrite) and Microsoft Office Suite.
  • Excellent verbal and written communication skills for effective interaction with clients and vendors.
  • Ability to work collaboratively within a team and lead projects when necessary.
  • Creative problem-solving skills to address unexpected challenges during event planning.
  • Attention to detail to ensure all aspects of the event are meticulously planned and executed.
  • Budget management capabilities to assist in tracking expenses and ensuring financial efficiency.
  • Flexibility and adaptability to thrive in a fast-paced and dynamic work environment.
  • Strong communication and interpersonal skills in both English and Spanish are a must
